A useful moving inventory tells your shipping company what you plan to send, how much there is, and what needs special handling. If you are shipping household goods from the USA to Thailand, prepare this list before requesting a quote, then update it as your packing decisions change.

Download the moving inventory template for Excel (.xlsx) or download the simple CSV version (.csv). Both contain the same 12 inventory fields and 20 blank entry rows. Add rows as needed. The Excel version also includes instructions and selection lists for measurement units and packing status; CSV does not preserve those features.
Use this resource to organize a quote request. Ask your mover or clearance agent which final packing-list format they need before shipping. Keep identity documents and payment information out of the inventory.
1. Walk through every room before estimating your shipment
Separate belongings into items you will ship, carry personally, sell, donate, or leave behind. Add only the intended shipment to your inventory. Check closets, storage areas, the garage, and furniture drawers so that the quote is based on more than the large pieces visible in each room.
Assign a unique ID to each item or box, such as LR-01 for a living-room chair or KT-01 for a kitchen carton. Use the same ID in your list, on the eventual box label, and in photo filenames. Keep the ID when an item moves to a different room.
2. Record descriptions and quantities that someone else can understand
Include the room, a specific description, and the quantity. “Kitchen items” leaves too much unanswered. “One carton containing 12 used ceramic plates and 6 mugs” gives the person reviewing the shipment a clearer starting point.
- Furniture: identify the piece, material where useful, and any removable sections.
- Boxes: describe the contents and distinguish the number of cartons from the number of items inside.
- Electronics: include the item type and model when it helps identify size or handling requirements.
- Fragile pieces: flag glass, mirrors, artwork, or other handling needs for review before packing.
Group identical items only when the quantities and measurements remain clear. For example, list four matching chairs as quantity 4 and specify that the dimensions describe one chair. Use separate rows when their sizes or packing requirements differ.
3. Measure consistently and identify what is already packed
Enter length, width, and height, plus an explicit unit: inches or centimeters. State whether the measurement is of the unpacked item or the packed carton. If you have not measured something, leave the dimensions blank and note that measurement is pending instead of entering zero.
Unpacked furniture dimensions do not describe the final shipping package. Wrapping, cartons, crates, and the way goods are loaded can change the space required. Have your mover review the list and confirm the shipment measurement used for the quote. This template does not calculate billable volume or shipping charges.
4. Add packing needs, condition notes, and photos
Use the packing-needed field to identify items requiring cartons, protective wrapping, disassembly, or a discussion about crating. Record visible condition issues in the notes field. Photographs should show the full item and any fragile parts or existing damage.
Name photos using the inventory ID, such as LR-01-front.jpg. The template stores the filename, not the image itself, so share the corresponding photos through the channel agreed with your mover. Avoid including unrelated personal documents in the background.

The following examples illustrate descriptions only. They are not a customer shipment or a volume estimate:
- LR-01: one used wooden armchair; unpacked; dimensions pending; protective wrapping requested; existing scratch on left leg; photo LR-01-front.jpg.
- KT-01: one packed carton containing 12 used ceramic plates and 6 mugs; outside carton dimensions to be entered; fragile contents; photo KT-01-contents.jpg.
- BR-01: one used bed frame; unpacked; disassembly requirements to be confirmed; mattress listed separately.
5. Keep the quote inventory and final packing list aligned
Your first inventory records what you intend to ship. The final packing list should reflect what is actually packed, with the identifiers and format agreed with the shipment team. Reconcile the two after packing rather than assuming an early estimate is the final document.

Before sending your inventory for a quote
- Check that all intended items are included and unwanted items are removed.
- Check quantities, measurement units, and packed or unpacked status.
- Identify fragile items and unanswered packing questions.
- Save a dated copy and keep the matching photos together.
- Provide pickup and delivery locations, access details, and preferred timing separately with the quote request.
