A clear access plan, an accessible inventory and time to review delivery paperwork can make the handover easier. This guide covers practical preparation for the delivery appointment, not customs clearance requirements or a guaranteed delivery schedule.

Confirm the delivery appointment before making commitments

Ask your shipping contact when a delivery appointment can be confirmed and what steps still need to be completed. A vessel arrival estimate is not the same as a confirmed appointment at your home. Avoid booking help or taking time off solely on the basis of an early estimate.

Check access with the building before delivery

For a condominium or managed building, speak with the management team about delivery hours, service elevators and unloading arrangements. For a house, describe the entrance and any restrictions that may affect vehicle access. Do not assume the delivery team can park directly outside.

  • Confirm the floor, elevator availability and booking process.
  • Describe stairs, narrow corridors and the distance from the unloading point.
  • Check whether doors or gates need to be opened by building staff.
  • Tell the coordinator about large furniture that may be difficult to carry inside.

Compare the delivered items with the paperwork and look for visible packaging damage where it is practical and safe to do so. If something appears missing or damaged, raise it with the delivery team and follow the provider’s written process for recording the issue.

Do not treat a photograph or a note as a guarantee of reimbursement: coverage, evidence requirements and notification deadlines depend on the applicable agreement. Read those instructions and contact the responsible provider promptly.

Clarify unpacking, assembly and packaging removal

Check the agreed service scope before expecting the team to unpack boxes, assemble furniture or remove all packaging. If these tasks are included, ask how completion will be recorded. If they are not included, arrange a practical plan for dealing with them yourself or through a separately agreed service.

Keep documents, photographs and relevant packaging while any discrepancy is being reviewed, following the provider’s instructions. Avoid discarding evidence before you understand what is needed.

Finish with a written handover record

  • Keep a copy of the delivery paperwork.
  • Record unresolved items through the agreed process.
  • Confirm the contact for follow-up questions.
  • Check rooms and access areas for remaining boxes or materials.
