Before booking a household move from the USA to Thailand, describe how your belongings will travel between each home and the vehicle. An inventory explains what is moving; an access checklist explains the route the moving crew must use. Prepare one for pickup and another for delivery, even if your destination address is not final yet.

This guide helps you collect useful details for a quote discussion. It does not confirm a vehicle, handling method, building permission or service charge. Ask your shipment team to review the information before arrangements are finalized.

1. Trace the route from the street to the room

Walk the route from the likely loading location to your front door, then to the rooms holding the largest items. At the destination, ask someone with access to the property to do the same. Note gates, slopes, steps, tight corners, low ceilings and narrow doors. A ground-floor address can still involve several obstacles.

  • Record the floor and the actual number of flights of stairs.
  • Describe the walking distance from the loading location to the entrance; mark it as approximate if not measured.
  • Identify shared corridors, security desks and locked access points.
  • Measure clear openings at the narrowest points, stating inches or centimeters.

Compare those measurements with your furniture measurements. A doorway wider than an item does not prove it will fit: turning space, packaging and the handling method also matter. Send uncertain cases for review instead of promising access.

2. Ask the building manager about moving arrangements

For an apartment or condominium, ask which entrance and elevator movers may use. Do not assume the passenger elevator is available for furniture. Request the building’s current instructions and pass the relevant details to your mover.

  • Are moving hours restricted, and is a time slot required?
  • Must a service elevator or loading area be reserved?
  • What are the elevator door opening and interior dimensions?
  • Does management require floor protection, paperwork or a deposit?
  • Who can confirm access on the day, and who will meet the crew?

These are questions to verify with the particular building, not requirements that apply to every property in Thailand. Keep an unanswered item marked “pending” rather than “no restriction.”

3. Describe vehicle access without guessing

Photograph the approach road, entrance gate and proposed loading area where permitted. Mention low overhead structures, narrow lanes, steep driveways or limited turning space. Ask the moving company which vehicle access details it needs and who will arrange any permissions. Do not reserve a space or tell a driver where to stop without confirming the arrangements.

If the vehicle cannot reach the entrance, ask how goods would be transferred and whether that changes the written quote. Request clarification of any extra handling or access charges before accepting the plan; this guide does not provide a price estimate.

4. Make a small, clearly named photo set

Useful photographs show the route, not just the address. Include a wide view of the entrance, the narrowest doorway, stair turns and the elevator opening. Add a brief caption explaining what each image shows. Keep faces, unrelated documents and access codes out of the images.

For a difficult item, use its ID from your moving inventory, such as “LR-01 sofa — doorway at delivery.” Share private address details through the channel agreed with your shipment team rather than posting the access report publicly.

Copy this access summary into your quote notes

  • Location: pickup or delivery; property type; address confirmed or pending.
  • Floor and stairs: floor number, flights and tight turns.
  • Elevator: availability, measured openings and reservation status.
  • Loading: proposed location, approximate carry distance and known obstacles.
  • Building arrangements: permitted hours, contact person and unresolved questions.
  • Large items: inventory IDs needing an access review.
  • Photos: filenames and date checked.

Example: an apartment delivery with an unresolved elevator booking

Illustrative example: “Delivery to an apartment on the fourth floor. Service elevator reported available; booking and dimensions still pending. Sofa LR-01 remains assembled. Photos show the entrance and corridor turn. Please review access before confirming delivery arrangements.” This tells the team what is known and what must still be checked without treating an assumption as a confirmed fact.

Update the checklist when plans change

A different apartment, an unavailable elevator or added furniture can change the access discussion. Send a dated update before pickup or delivery and ask whether the arrangements or quote need revision. For the broader arrival process, use our delivery-day checklist.
